A conference represents months of work by your organising committee and original work by every delegate who presents. Too often the only record of it is a spiral-bound souvenir that no library will hold and no author can cite. We change that. Working backwards from your abstract deadline, we edit, typeset, register and deliver a properly published volume — carrying an ISBN, your institution’s branding, and a permanent place in the scholarly record.

How It Works

1 · Enquiry 4–6 months before your event, tell us the dates, expected number of submissions and what you need. We respond with a written proposal and a costing.
2 · Agreement A short MoU sets out deliverables, timelines, review process, branding and costs. Our logo goes on your brochure as Publication Partner; your logo goes on the cover.
3 · Submissions We supply abstract and full-paper templates. Your committee handles scientific selection.
4 · Production Copy-editing, similarity screening, typesetting, cover design, ISBN registration. You approve the proof.
5 · Delivery Abstract book delivered before the event. Proceedings follow the post-event full-paper deadline.
6 · After Author certificates, print copies for your library and department, and a joint announcement.

The one date that matters: contact us before your brochure goes to print. That is what allows us to appear on it as your Publication Partner, and it is the single biggest predictor of a smooth production run.

What We Need from You

  • A named point of contact on your committee for proofs and approvals

Peer Review and Publication Ethics

We publish conference output on stated terms, and we do not vary them:

  • Review is independent. For proceedings and edited volumes, subject reviewers decide acceptance. The organising committee sets the scientific scope and nominates volume editors; it does not overrule a rejection.
  • Acceptance is never bundled with registration. Paying a conference fee does not purchase publication.
  • Every submission is screened for similarity and for undisclosed generative-AI content.
  • Volume editors are named, with their affiliations and conflicts of interest declared in the book.
  • Conference volumes are labelled as such, clearly and on the cover.
  • Authors retain copyright, and content is published under a Creative Commons licence.
  • Corrections and retractions follow a published policy that applies equally to conference and regular titles.

These terms exist to protect the delegates who publish with us. We would rather lose a partnership than compromise them.

Costs

Costs depend on the number of submissions, the deliverables you choose and your print quantity. We quote a single fixed figure in writing, with no charges added later.

Conferences typically fund publication in one of two ways: the organising committee pays a bundled fee from the conference budget, or contributing authors pay a reduced processing charge. We are happy to work with either — tell us which suits your budget and we will structure the proposal around it.

Frequently Asked Questions

How far in advance should we approach you?
Four to six months before the conference date, and always before your brochure is printed. We can work to shorter timelines for abstract books — ask us.

Will the abstract book really be ready before the conference?
Yes. It is the commitment we make in the MoU, and every production schedule is built backwards from your inaugural session.

Does the ISBN belong to us or to you?
The ISBN is registered to Aloka Publications as publisher, with your conference and institution named on the title page and cover, exactly as in any co-published academic volume.

Will our authors be able to cite this, and will it count academically?
Yes. An ISBN-registered volume is a formal publication: it can be catalogued by libraries, cited in the standard book or book-chapter format, and listed on an academic record. Each contributor receives a certificate and a citation line for their paper.

Who decides which papers are accepted?
For abstract books, your scientific committee. For proceedings and edited volumes, independent peer reviewers. We do not accept papers on the committee’s instruction, and we do not reject them on it either.

Do you publish outside the pharmaceutical sciences?
Our core disciplines are pharmacy, pharmaceutical sciences and allied health. We consider conferences in adjacent life-science and health-education fields on a case-by-case basis.

Can you handle our certificates as well?
Yes — participation, presentation and best-paper certificates, designed to match the conference identity.

How many printed copies do we get?
As many as you order. Print quantity is set in the proposal, and we can reprint afterwards if your delegate numbers change.

What if our conference is online or hybrid?
No difference to the publication workflow. The abstract book is delivered as an e-book ahead of the event, with print copies if you want them.
